Administrative & Operations Associate

Forty-person association management firm is seeking to fill a full-time Administrative and Operations Associate role. Our ideal candidate is detail oriented, extremely well organized, deadline conscious, politely persistent, proactive and capable of juggling several projects at once.

We are looking for a friendly self-starter who believes no tasks are too big or too small and who can learn skills, methods and processes quickly and then manage them independently.

Specific Duties Include but are not limited to

  • Invoice management
    • Create and send invoices
    • Receive/ process/ record incoming payments
    • Follow up on delinquent invoices
    • Preform monthly review of financials
  • Membership
    • Conduct reach-outs to pre-identified individuals
    • Send and process recertification documents
    • Print and send certificates
    • Add new members/ certificates to databases
    • Create reports for board and committee meetings

Position is 100% percent remote permanently. Some travel will be expected when it is safe to do so, towards the end of 2021 or 2022 to New York City and other US destinations.

Position Requirements:

  • Bachelor’s degree or equivalent/relevant work experience as an administrative associate
  • Association Management experience is a plus but not required
  • Proficiency in Microsoft Outlook, Word, PowerPoint and Excel, including Excel formulas and mail merges, and Google’s Gmail, Sheets, Docs and Drive
  • Internet literate and adept at learning new technology tools
  • Excellent writing skills and the ability to create professional business documents
  • Strong interpersonal and communication skills with the ability to quickly develop productive relationships with clients, speakers, attendees, vendors and staff
  • Demonstrated organizational skills with strong attention to detail and the ability to multitask
  • Able to stay calm, composed and professional, even under pressure
  • Regular office hours but candidates may be asked to work up to three weekends and 7-8 evenings a year mostly in New York City, with several other trips throughout the USA
